For launches

A new product takes weeks to land across every NHS system. Vima Access watches the chain, week by week.

MHRA approval is just the start. From the dm+d effective date to the first stable month of prescribing, your product has to land at NHSBSA, at every wholesaler, and in every prescribing system in the country. Each step has its own cadence and its own way of going wrong. Vima Access watches every step on a weekly cycle for the first 12 months.

02The launch chain

Six categories of work. Six places to slip.

Every launch is the same shape. dm+d goes effective, NHSBSA processes the submission, wholesalers update their catalogues, prescribing systems pick up the new code, and (eventually) the first scripts get written. Each one has a lag pattern and a cutoff. Miss a cutoff and you wait a month for the next window.

01RegulatoryMHRA approval, MA holder confirmation. The legal go-ahead. Manually entered into the Launch Tracker so the rest of the timeline can build off it.
02Commercial readinessBrand name lock, packaging finalised, price set, NHS-side communications drafted. Internal to your business but tracked here so nothing slips between commercial and access.
03NHSBSA submissionThe dm+d notification window. NHSBSA needs 10 working days minimum before the proposed effective date. Miss the window and the effective date moves by a month.
04Wholesaler stockingAAH, Alliance and Phoenix each pick up new products on their own catalogue cadence. Vima detects the moment each one lists the new SKU, per pack.
05Clinical system listingsEMIS Web, TPP SystmOne, Vision and ProScript Connect each ingest dm+d on their own lag (commonly 4 to 6 weeks). Vima checks each system weekly.
06Post-launch signalsThe first stable months of prescribing data from NHSBSA OPENDATA, brand-aware aggregation across strengths. Confirms the launch actually landed.

03What Vima does during a launch

Weekly cycles. Auto-detection. Slip-risk warnings.

During the 12-month launch window, the SKU sits on a weekly verification cycle (instead of the steady-state quarterly). That cadence matches the speed at which the NHS systems actually move. The platform handles what it can detect on its own; the Vima Clinical team handles the rest.

01
Milestones close themselves

When the underlying panels move, the matching milestone closes. dm+d goes effective, the regulatory milestone closes. AAH lists the pack, the wholesaler-stocking milestone closes for that wholesaler. Manual entry only for things that don't have a data source.

02
Slip-risk warnings

NHSBSA submission past the 10-working-day window. EMIS listing more than 6 weeks behind the dm+d effective date. Optum MKB cutoff approaching. Vima flags slips against the cadence each downstream system actually operates.

03
Daily morning digest

Every watched launch, in your inbox at 08:00 UK. What progressed yesterday, what's still open, what's at risk. Same view your team sees on the platform, summarised.

04The Launch Tracker

One view of the launch. Anchored on the dm+d effective date.

The Launch Tracker is the operational view your access team works through during a launch. Six milestone categories grouped by phase, with auto-detected closures wherever the platform has data and manual entry where it does not. The example to the right is illustrative; real launches show the customer’s actual products and dates.

Phase progression at the top
Planning, Submitted, Effective, Rolling out, Fully listed, Mature. Each phase has its own set of expected milestones.
Slip-risk flags inline
When a milestone is past its expected window, the row turns. Your MA lead sees the slip the same morning.
Outreach loops tracked alongside
Optum (EMIS) and FDB (SystmOne) monthly MKB and bulletin cutoff dates logged per launch with status.
